Part-Time Administrative Coordinator

The Appendix Cancer Pseudomyxoma Peritonei Research Foundation (ACPMP) has an opening for a part-time administrative coordinator to assist with management of day-to-day operations for this small non-profit organization.

Schedule: This a 15-25 hour per week position, Flexible days, and hours.

Location: This position is remote. Staff coordinates by phone and Zoom. 

Compensation: $16.00 - $20.00 per hour depending on qualifications

Reports to: Board Members.

Qualifications: Associates or bachelor’s degree preferred. Minimum two years’ related experience including high proficiency with Microsoft Office, spreadsheets, data entry, and database software (CRM). Knowledge of nonprofit related software and systems is beneficial. Donor Management, Fundraising, Advocacy, Event and Marketing Automation.

Organization Description:

The ACPMP Research Foundation is an IRS-designated 501(c)3 charitable organization (EIN: 26-2890160). The Foundation was created in 2008 by a community of individuals affected by Pseudomyxoma Peritonei (PMP), Appendix Cancer, and related Peritoneal Surface Malignancies (PSM). ACPMP is dedicated to (1) funding research to find a cure for Pseudomyxoma Peritonei, Appendix Cancer, and related Peritoneal Surface Malignancies, and (2) funding educational programs to educate physicians and patients about these diseases.

Job Responsibilities:

Administrative

  • Manage insurance contracts
  • Manage state-level charitable and corporate registrations
  • Organize and manage electronic files (Google Drive)
  • Cover phone/email when other staff traveling/off
  • Manage web domains and renewals
  • Assist with educational and fundraising event planning and execution

Fundraising and Donor Relations

  • Track donations in CRM and manage donor database
  • Prepare and distribute donor receipts (Word/Excel)
  • Prepare and distribute donor acknowledgment letters (Word/Excel)
  • Coordinate memorial donations with families and update memorial families on donations when requested by families
  • Update memorial/honorary tributes on website (maintained in Excel)
  • Assist with end of year grant naming process and notifications (Word/Excel)
  • Assist with data integrity – matching donations
  • Assist with the coordination of “Peer to Peer” fundraising events

Marketing

  • Assist with management of Google Ads, social media calendar and content
  • Prepare email and letter blasts to donors
  • Assist with updates to patient resource materials

Finance

  • Track and coordinate payment of bills with finance manager
  • Track vendor accounts and contract expiration dates
  • Coordinate reimbursements with board/staff and finance manager
  • Point of contact for store vendor and track reimbursements for store income

Operations Coordinator

The Appendix Cancer Pseudomyxoma Peritonei Research Foundation (ACPMP) has an opening for a Full-time Operations coordinator to assist with management of day-to-day operations for this small non-profit organization.

Schedule: This a 40 hour per week position, Flexible days, and hours. Highly Experienced candidates seeking part time hours (<30) will be considered.

Location: This position is remote. Staff coordinates by phone and Zoom.

Compensation: $50,000-$70,000. Negotiable depending on qualifications

Reports to: Board Members.

Qualifications:

  • Associates or bachelor’s degree preferred.
  • Minimum three year’s related non-profit or business experience including high proficiency with Microsoft Office, spreadsheets, data entry, and database software (CRM).
  • Knowledge of nonprofit-related software and systems is beneficial. Donor Management, Fundraising, Advocacy, Event, and Marketing Automation.

Position Summary: The Operations/Program Coordinator manages the day-to-day business operations of the ACPMP Research Foundation including cross functional collaboration with the Board, business partners and volunteers to advance the foundations mission and achieve common goals. The ideal candidate will have proven non-profit experience, excellent communications (written and oral), knowledge of non-profit donation platforms, excellent Microsoft office skills and proven project/event management experience

General Administrative Support

  • Manage insurance contracts
  • Manage state-level charitable and corporate registrations
  • Organize and manage electronic files (Google Drive)
  • Manage web domains and renewals through Go Daddy and Salsa Labs
  • Assist with educational and fundraising event planning and execution
  • Keep track of vendor accounts and contract expiration dates and coordinate payment of bills.
  • Maintain current knowledge of and expertise in fundamental non-profit compliance to ensure 501 (c) 3 requirements are achieved.
  • Maintain ACPMP’s charity branding profile with 3rd party ratings programs- Charity Navigator etc.

Fundraising Support

  • Develop knowledge and expertise in a wide range of fundraising platforms, systems, and methods to support overall fundraising.
  • Assist, coordinate, and support varied new and existing Peer to Peer and foundation based fundraising events.
  • Coordinate and support all aspects of donor development-Acknowledgement letters, memorial tributes, matching donation programs.
  • Build an internal portfolio of re-occurring fundraising events that can be scaled and executed on an annual basis with a low or moderate level of effort by leveraging a base of volunteers.
  • Develop long term sponsor, corporate, institutional and high visibility relationships.
  • Develop fundraiser policies, guidelines and How to Guides.

Marketing and Communications

  • Assist with website management.
  • Assist with management and coordination of social media campaigns.
  • Coordinate YouTube channel updates of educational and marketing content.
  • Draft and disseminate quarterly e-newsletter along with other emails to supporter database via Constant Contact and related platforms.
  • Coordinate updates of print and digital marketing materials—brochures, handouts, etc.
  • Coordinate and grow Google Grants/AdWords program.

Education Program Support

  • Assist with planning and support of educational events including symposiums, webinars, and other digital broadcasts.
  • Develop knowledge and expertise in related systems and platforms. Zoom, Teams.
  • Attend and represent ACPMP at booth/table at select live events
  • Develop key sponsors to help fund digital broadcast projects/YouTube channel.

Volunteer Management

  • Manage volunteers, field volunteer inquiries.
  • Coordinate volunteer projects to support working groups and committee assignments.
  • Build a formalized Intern Program to include volunteers for support of varied projects and events. Marketing Interns to identify a semester project to Market and Fundraise-Bidding for Good.

Professional and Staff Development

  • Attend professional events and webinars to maintain relevant competencies and expertise including, GuideStar webinars, Inspire Webinars, Salsa webinars, etc.
  • Supervise staff positions as they are developed and defined.
